Job Summary

The Duke University School of Medicine is seeking a highly skilled Administrative Support Specialist to join our team. This position will provide administrative support to the Regional Biocontainment Laboratory (RBL) leadership and staff, ensuring the smooth operation of the state-of-the-art biocontainment facility.

Key Responsibilities
  • Provide administrative support to RBL leadership, including scheduling and coordinating arrangements for seminars, conferences, meetings, and speaking engagements.
  • Assist with scheduling visitor access, maintaining visitor instruction guides, and managing parking passes.
  • Maintain office supplies and equipment, and place orders to support RBL operations.
  • Review shopping carts to ensure compliance with Duke Procurement policies and serve as an onsite resource for RBL staff on proper use of equipment.
  • Prepare monthly reports of outstanding goods receipts and coordinate with RBL staff to ensure timely compliance with requirements.
  • Prepare travel and expense reports for reimbursement for RBL leadership.
  • Screen and route mail and documents, and assist RBL staff with outgoing commercial shipments as needed.
  • Attend program and operations meetings to take minutes and monitor action items.
  • Assist in the preparation and monitoring of budgets based on program activities and departmental operations.
Requirements
  • Work requires a broad knowledge of clerical and accounting principles and practices, normally acquired through two years of post-secondary education in administrative support or a related business field.
  • Three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, budgetary/accounting activities, or an equivalent combination of education and relevant experience.
