Job description 
 
Position Summary: 
The Client Care Coordinator is responsible for orchestrating and overseeing the seamless delivery of Applied Behavior Analysis (ABA) therapy services to clients. This position requires a dedicated individual who excels in communication, organization, and collaboration, and is passionate about delivering exceptional care to clients and supporting the growth and satisfaction of the care team. 
 
Key Responsibilities: 
1. Obtain initial authorization from the funding source and strategically schedule necessary appointments, guiding clients through the process of obtaining ABA therapy services; 
2. Collaborate with the recruiting team to ensure thorough screening of field staff, promoting the selection of qualified and dedicated professionals; 
3. Coordinate and implement ABA therapy schedules; 
4. Foster strong partnerships with clinical supervisors, program managers, behavior 
technicians, and the treatment team to enhance the overall quality of care; 
5. Maintain consistent communication with the operations director to stay informed about new staff, assignments, clients, staffing needs, case status changes, and discharges; 
6. Conduct regular bi-weekly care calls involving clients and staff to assess quality of care, address concerns, and gauge satisfaction levels; 
7. Accurately record client and care team interactions, issues, and complaints within electronic medical records software to ensure comprehensive documentation; 
8. Ensure that all clients initiate therapy within one business week after receiving authorization, streamlining the onboarding process; 
9. Actively participate in staff meetings and conference calls as required, contributing to a collaborative and informed team environment; 
10. Initiate and assist with projects aimed at enhancing both client service and satisfaction, as well as improving employee performance, retention, and satisfaction. 
 
Qualifications and Requirements: 
● Prior experience creating and maintaining schedules on a large scale is a requirement for this position  
  • Exceptional time management and organizational skills with the ability to manage 
complex schedules and coordinate resources effectively; 
● Strong interpersonal and communication skills, enabling effective collaboration with various stakeholders; 
● Detail-oriented approach to accurately record and manage client interactions and team communication; 
● Proven ability to handle sensitive and confidential information with discretion (HIPAA); 
●Demonstrated problem-solving abilities and a proactive approach to identifying and addressing challenges; 
●Cultural sensitivity and awareness when working with clients from diverse backgrounds. 
 
Education and Experience: 
● Bachelor’s Degree in psychology, sociology, or other related field preferred, but not required; 
● Prior experience in client care coordination, healthcare, or related fields; 
● Strong understanding of Applied Behavior Analysis (ABA) principles and techniques is preferred; 
Scheduling experience is required.
