Provides clerical support including typing correspondence, reports, and documents; maintaining filing systems; and coordinating daily interoffice activities.

REPORTS TO Administrator

QUALIFICATIONS

● High school graduate; college degree preferred● Minimum of two (2) years experience in a business setting, health care preferred● Knowledge of medical terminology preferred● Speak, read, write, and comprehend English● Demonstrated strong verbal, written and interpersonal communication skills
● Ability to multitask, prioritize workload, and work efficiently in a fast-paced environment.● Demonstrated ability to type at least 50 words per minute and familiarity with basic computer programs
● Compassionate, empathetic, and respectful demeanor towards clients, caregivers, and colleagues.

ESSENTIAL FUNCTIONS/AREAS OF ACCOUNTABILITY

1. Provides clerical support to agency management and supervisory personnel
a. Answers phones in professional courteous manner.b. Coordinates internal communication between office staff.c. Updates and maintains Client and Employee records with digital recording system.
d. Prepares statistical reports as needed.
2. Assists with the hiring process for direct care staff a. Provides initial telephone screening for applicants and sets up interviews if appropriate.b. Requests Background Checks, Employment Verification(s) on applicants.c. Assists in Orientation and training of new direct care staff.

3. Performs job in compliance with agency policies and procedures as well as community and professional standards a. Accepts responsibility in accordance with the role of the Administrative Assistantb. Assures compliance with applicable lawsc. Attends meetings and educational programs as requiredd. Participates in the Agency quality improvement activitiese. Maintains confidentiality in all aspects of the job-protects written confidential documents in a manner that prevents unauthorized access.

4. Monitors staff availability and hiring needs.

5. Continually recruits qualified field staff to meet the needs of the Agency.


6. Ensures that adequate numbers of staff are available to meet current Client needs as well as anticipated flow of new referrals.


7. Maintains logs/ records of recruitment activity and conversion rates.


8. Communicates necessary information to Supervisor and management team to ensure coordination of services and activities a. Attends clinical staff meetings as needed to communicate information needs as they relate to physician orders and other timely written reportsb. Contacts clients, referral sources, families, and other disciplines as directed to assure care coordinationc. Assists with filing of documentation in the clinical record. Reports missing or incomplete chartingd. Participates and communicates with other departments to assure that tasks are accomplishede. Performs additional duties and responsibilities as deemed necessary
