Administrative Assistant

This is a contract opportunity.

This is a hybrid opportunity.

 

About this position

The Administrative Assistant will provide advanced administrative support to a Vice President and two Associate Vice Presidents within the Global Talent Management team. This role requires a comprehensive understanding of company policies and procedures, as well as exceptional organizational skills to ensure effective office systems and divisional procedures. The individual will interface with internal and external stakeholders on various complex and confidential matters, requiring tact, diplomacy, and confidentiality.

 

Job Responsibilities

Schedule and maintain multiple calendars of appointments and meetings for the executives.

Support and monitor the ongoing administration of HR and talent program processes to ensure consistent and timely execution.

Coordinate travel itineraries and process expenses for the team.

Respond to inquiries, requests, and research information, maintaining confidentiality as necessary.

Coordinate with other departments or divisions to resolve issues as they arise.

Provide functional guidance and training to other associates within the department and across corporate functions.

Analyze operating practices and create or revise systems and procedures as necessary.

Organize and maintain files, record-keeping systems, and office layout.

Oversee and monitor administrative projects, ensuring timely completion.

Organize meetings, including catering, room bookings, and follow-up activities.

Manage and administer department payroll and timekeeping.

Act as a backup support to other administrative staff.

Administer various documents and spreadsheets, ensuring accuracy and completeness.

Act as a proxy for certain systems as needed.

Support meetings, training sessions, and conferences with preparation and logistics.

Plan and participate in department initiatives such as summits, all-hands meetings, leadership offsites, and team-building events.

Communicate pertinent information among appropriate departments.

 

Skills/Requirements

Administrative experience in a corporate setting is required.

Superior organizational and administrative skills with the ability to multitask in a fast-paced environment.

Proficiency in Microsoft Office applications, including PowerPoint, Excel, Outlook, and Word.

Excellent written and verbal communication skills with a customer service-oriented approach.

Ability to effectively manage confidential and sensitive information.

Proven ability to thrive in a busy atmosphere and manage multiple tasks simultaneously.

Demonstrated success in scheduling meetings, managing calendars, arranging travel, and processing expenses.

Strong relationship-building skills and ability to collaborate with team members and other administrative staff.

Resourcefulness and ability to leverage relationships to problem-solve.

Interest in Human Resources is a plus.

Additional Information:

This position is a part of the Global Talent Management Team

Hybrid schedule within office days that align with the team.

8-month contract

Pay/Salary Range:

 

Pay Range: $30-$37/hour.
