Job Summary
The Office Coordinator is a vital point of contact for our clients and cleaning team, ensuring seamless communication and efficient operations from a remote setting. This role involves managing client calls, scheduling appointments, assigning cleaners, providing quotes, overseeing payroll, and handling various administrative tasks. The ideal candidate is detail-oriented, proactive, and excels in a dynamic, virtual environment.
Key Responsibilities
- Client Communication:
- Answer incoming client calls promptly and professionally via virtual phone systems, addressing inquiries and concerns.
- Provide accurate service quotes based on client needs and The Alaska Cleaning Company's pricing guidelines.
- Book and schedule cleaning appointments, ensuring alignment with client preferences and availability.
- Cleaner Coordination:
- Assign cleaners to scheduled jobs based on their availability, expertise, and geographic proximity.
- Manage cleaners' schedules to ensure optimal coverage and timely service delivery.
- Communicate job details and expectations to cleaners clearly and efficiently through remote communication tools.
- Payroll and Administrative Duties:
- Process payroll for cleaners, ensuring accuracy and timely submission using online payroll systems.
- Maintain precise records of employee hours, attendance, and job assignments in digital platforms.
- Additional Tasks:
- Monitor and respond to client feedback to maintain high satisfaction levels.
- Resolve scheduling conflicts or client issues promptly and professionally.
- Support other office functions as needed to ensure seamless operations in a remote environment.
Qualifications
- Education and Experience:
- High school diploma or equivalent required; associate's or bachelor's degree in business administration or related field preferred.
- Prior experience in office coordination, customer service, or administrative roles, preferably in a remote setting, is a plus.
- Skills and Abilities:
- Excellent verbal and written communication skills for engaging with clients and team members remotely.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Proficiency in scheduling software, payroll systems, and remote collaboration tools.
- Ability to multitask and perform well in a fast-paced, virtual environment.
- Customer-focused mindset with a commitment to delivering exceptional service.
- Problem-solving skills to address scheduling conflicts or client concerns efficiently.
- Other Requirements:
- Reliable, punctual, and professional demeanor, with a dedicated home office setup (stable internet, quiet workspace, etc.).
- Ability to work independently and collaboratively within a remote team.
- Attention to detail to ensure accuracy in scheduling, payroll, and client records.
Work Environment
- The role is fully remote, requiring the use of personal computer equipment, reliable high-speed internet, and virtual communication tools.
- Regular interaction with clients and cleaners via phone, email, and video conferencing is required.
- The position operates in a supportive, team-oriented virtual environment focused on client satisfaction and operational excellence.
