Job DescriptionJob Description
  • Minimum 3 yrs. of progressively responsible experience performing routine office clerical functions.
  • Minimum 5 yrs. of experience in administration of facility construction contracts.
  • High school required; some college study preferred.
  • Demonstrates knowledge of current computing technologies and software applications appropriate tot he position's job responsibilities.
  • Proficiency in basic Microsoft Office software.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to deal effectively with the public.
  • Must demonstrate competency by passing the appropriate clerical examination.
  • Assist in financial analysis by making computations and comparisons.
  • Assist professional staff members in performing assigned technical tasks under immediate supervision.
  • Answers the telephone, responds to inquiries and provides information pertaining to procedural operations of the department.
  • Provides information by telephone and through correspondence on requirements concerning construction requirements (insurance, licenses, bonds, signatures, specifications, bid procedures, change orders, payments, etc.
  • Maintain records and files on construction projects, including review of specification forms, contracts and related documents.
  • Establishes and maintains control procedures for processing incoming correspondence and action documents.
    Composes moderately to highly complex correspondence for supervisor's signature.
  • Opens and distributes mail; assembles materials for use by supervisor.
  • Prepares payroll, travel reports, etc. for department as directed.
  • Orders supplies, initiates purchase orders, and authorizes payment for items received.
  • Maintains department/division personnel records. Processes personnel paperwork related to newly hired department/division employees.
  • Performs light accounting functions and maintains budget records.
  • Coordinates preparations for workshops, meetings and seminars.
  • Maintains complex filing systems and records as required.
  • Codes, classifies, posts and consolidates information for reports.
  • Follows adopted policies and procedures in accordance with Miami-Dade County Public Schools priorities.
  • Maintains confidentiality regarding department and business matters
  • Performs related duties as required or assigned.
