Job DescriptionJob DescriptionWe are seeking an Office Manager to join our team located in Livermore, California. In this role, you will be responsible for overseeing the administration of our corporate headquarters and performing a range of office management tasks. This includes event planning, travel arrangements, and vendor management. You will also serve as the main point of contact for IT-related issues and assist the Human Resources manager as needed.

Responsibilities:
• Oversee the front desk, including mail handling and occasional phone call management
• Act as the primary point of contact for office vendors, including janitorial staff, plant maintenance, copier services, and more
• Manage the procurement of office and shop supplies
• Handle administrative invoices for accounts payable
• Maintain the security access system for the office
• Provide notary services as required
• Coordinate conference or event registrations, airfare, and hotel bookings for staff
• Plan and coordinate special events and meetings
• Manage the inventory of promotional merchandise
• Assist the Human Resources manager in various tasks
• Serve as a liaison between IT consultants and employees, helping to resolve any IT-related issues.• Minimum of 7 years of experience in a similar role as an Office Manager.
• Proficient in Account Reconciliation to ensure accurate financial records.
• Experience with Accounts Payable (AP) and Accounts Receivable (AR) management.
• Skilled in conducting Bank Reconciliations to maintain financial accuracy.
• Solid understanding and experience in Bookkeeping.
• Ability to perform Data Entry tasks efficiently and accurately.
• Proficiency in using Microsoft Excel for data management and analysis.
• Experience with Month End Close procedures to ensure timely and accurate financial reporting.
• Experience in managing Payroll, ensuring all employees are paid accurately and on time.
• Proficiency in using QuickBooks for financial management and reporting.
• Ability to use Adobe Acrobat for document management and modification.
• Proficiency in using Microsoft Outlook for email and calendar management.
