Administrative Assistant Opportunity – Join a Dynamic Team
Are you an organized, detail-oriented professional passionate about providing top-notch administrative support? We are seeking an Administrative Assistant to help ensure the smooth operation of our fast-paced project environment. This role offers the opportunity to work closely with a Senior Project Manager, making a significant impact by coordinating key activities and managing essential documentation.
Key Responsibilities:
- Provide comprehensive administrative support to the Senior Project Manager, including scheduling meetings, managing calendars, and handling correspondence.
- Prepare, organize, and maintain project documentation such as contracts, reports, and meeting minutes, ensuring accuracy and timeliness.
- Assist in project coordination by tracking progress, updating schedules, and maintaining communication with subcontractors, suppliers, and team members.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Enter and update project information in relevant databases and project management software.
- Serve as a liaison between the Senior Project Manager and internal/external stakeholders to ensure clear and timely communication.
- Manage office supplies, equipment, and other administrative tasks as needed.
What We’re Looking For:
- Proven experience in an administrative support role, ideally within the construction or a similar industry.
- Strong organizational and multitasking skills, with a keen eye for detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management software (e.g., Procore, Ebuilder) is a plus.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Adaptability to work in a fast-paced environment with changing priorities.
Qualifications:
- A high school diploma or equivalent is required; an associate’s degree or higher in business administration or a related field is preferred.
