We are looking for a skilled Administrative Coordinator to join our team in the retail industry, located in Manhattan Beach, California. Job Purpose As our Administrative Coordinator, you will manage significant administrative tasks with an emphasis on logistics, documentation, operating with a high degree of professionalism and close attention to detail. This role requires a solid grasp of digital systems, effective communication with both internal and external partners, and excellent collaborative skills to assure overall smooth operations.


Responsibilities:


• Assist with the administration of department-hosted events and meetings, including handling reports, room assignments, and logistics

• Leverage software to assist in tracking and processing requests, reservations and other relevant functions

• Collaborate with other departments and team members to ensure efficient coordination of operations

• Coordinate the preparation, editing and dissemination of documentation for meetings and special events

• Meticulously prepare reports and spreadsheets, tracking project meeting progress and maintaining necessary logistics and details

• Maintain and manage the department's intranet site

• Liaise with IT support and external software vendors to solve hardware, software, and any other technical issues within the department

• Serve as a knowledgeable resource on organizational technologies and tools, recommending and implementing enhancements as needed

• Maintain departmental documentation such as organizational chart, vendor lists, contract database, invoices, confidential documents, and financial records

• Organize, maintain and manage a logical filing system for quick information retrieval

• Provide professional, effective customer service when responding to queries and requests

• Perform other assigned duties as necessary.
