Job Description

We are seeking a highly organized and detail-oriented Office Experience Coordinator to join our team at Boston Consulting Group. As a key member of our Office Experience team, you will be responsible for ensuring the smooth operation of our office, providing exceptional support to our staff and guests, and maintaining the overall appearance of our space.

Key Responsibilities
  • Office Maintenance and Repairs: Act as a resource during office repairs, liaising with the Office Experience team, building, and vendors as necessary. Report office/space issues and work with the team to address and rectify them.
  • Catering Coordination: Order catering and set up food and beverages for numerous office meetings and events. Track catering budgets and invoices. Research and develop relationships with local caterers.
  • Office Supplies: Order supplies and ensure appropriate supplies are stocked and organized in shared workspaces.
  • Individual Office Moves: Support and implement the movement of personnel and furnishings, including IT equipment. Prepare offices and workspaces for new staff members. Clean out offices/spaces promptly when staff members depart or move.
  • Mail Coordination: Maintain office mail supplies, including updating postage meter and postage rates in accordance with the United States Postal Service. Coordinate mail/package delivery on a daily basis. Manage the essential functions of Federal Express, UPS, and other courier services and order supplies when needed.
  • Kitchen Coordination: Maintain office kitchens, including proactively replenishing all kitchen supplies, food/drinks, etc. Heavy lifting required, which can include large cases of food and drinks; able to use a step ladder. Responsible for overall cleanliness and organization of office kitchens during the day. Ensure proper maintenance of kitchen equipment and disposal of trash.
  • Conference Room Coordination: Responsible for overall cleanliness and organization of conference rooms and ensuring they have adequate supplies. Coordinate with meeting organizers and the Office Experience team to ensure all meeting needs are met, including catering, furniture arrangement, IT, and other room setup.
  • Teaming: Primary coverage of the Concierge Desk. Provide backup to other members of the Office Experience team as necessary, especially on days with multiple internal events or when other team members are out of the office. Process and submit expenses on a monthly basis.

Requirements:

  • 1-2 years in an office environment or equivalent work experience
  • Catering experience preferred
  • Ability to spend significant time walking and standing
  • Ability to lift and deliver large packages
  • Ability to work within a budget
  • Flexibility to work overtime
  • Computer literacy required with strong knowledge of Microsoft Word, Excel, PowerPoint

What We Offer:

  • Total compensation for this role includes base salary, annual discretionary performance bonus, contributions to BCG's Profit Sharing and Retirement Fund (PSRF), and a market-leading benefits package.
  • Base salary between $54,000 - $63,000 (USD); placement within this range will vary based on experience and skill level
  • Annual discretionary performance bonus between 0-12%
  • 5% Profit Sharing Retirement Fund (PSRF) contribution, increasing to 10% after two years of service. Contributions are vested immediately and there is no waiting period
