Responsibilities




  • Provide exceptional customer service, responding to calls, visitors, and appointments in a professional manner
  • Offer administrative, secretarial, and clerical assistance to the supervisor, ensuring seamless day-to-day operations
  • Prepare and review monthly credit card reconciliation reports to ensure accuracy and compliance
  • Generate requisitions and purchase orders for departmental staff to facilitate smooth procurement processes
  • Coordinate with vendors to resolve bid-related queries, orders, and billing issues in a timely manner
  • Investigate and resolve vendor queries to maintain positive working relationships
  • Monitor and track budget expenditures for the department, ensuring effective financial management
  • Perform year-end budget closing to ensure accurate financial reporting
  • Enter and maintain grid schedules for staff to facilitate efficient time management
  • Coordinate and process monthly travel arrangements to minimize disruptions
  • Utilize MUNIS and Aspen to perform extensive data entry and analysis tasks
  • Carry out special projects as needed to support the department's objectives
  • Perform a range of related duties to ensure the smooth operation of the department


Requirements




  • Holds a high school diploma or equivalent and 1-3 years of experience in administrative, clerical, financial, or secretarial work, preferably in a school environment
  • Possesses knowledge of department regulations, policies, programs, and operations, as well as office management principles and practices
  • Has excellent communication and interpersonal skills, with the ability to establish and maintain harmonious working relationships with colleagues and the public
  • Is proficient in operating computers and applicable software, including word processing, spreadsheet, and database applications
  • Maintains a high level of professionalism, discretion, and tact in dealing with sensitive information and situations


Physical Demands



The physical demands of this role include sitting, talking, hearing, and occasionally walking, using hands to handle objects, reaching with hands and arms, and lifting up to 25 pounds.
