Position Summary
The organization is in need of an Administrative Coordinator to assist the executive leadership, ensuring that organizational objectives are met and operations function smoothly. This role is crucial in enhancing and streamlining internal procedures that support executives across the company, as well as coordinating both internal and external resources. You will play a key role in managing communications between senior management and staff, collaborating with internal and external leaders on various initiatives and tasks to enhance workflow.

Key Responsibilities
  • Scheduling meetings, sending notifications, arranging travel plans, and coordinating business meals.
  • Communicating information from senior management to department leaders, handling correspondence, and addressing concerns.
  • Facilitating orientation programs for new hires and providing support for fundraising efforts and research.
  • Acting as the primary contact for maintenance, mailing, shipping, supplies, equipment, invoices, and errands.
  • Overseeing information flow, formatting, and preparing materials for communication.
  • Screening and directing phone inquiries, taking comprehensive messages, welcoming guests, and organizing the workspace.

Qualifications
  • A minimum of four years of experience in administrative positions reporting directly to senior management.
  • Proficient in office productivity software and a quick learner of new systems.
  • Excellent written and verbal communication skills, with the ability to maintain confidentiality.
  • Strong time management skills and the ability to coordinate multiple projects concurrently.
