Key Responsibilities

1. Oversee and prioritize all communications for the CEO, including correspondence and mail.
2. Organize and maintain the CEO's calendar, ensuring effective scheduling of meetings, appointments, travel arrangements, and company events.
3. Prepare detailed meeting agendas, document minutes, and follow up on action items with relevant parties.

4. Serve as a liaison between the CEO and clients, providing timely updates, addressing inquiries, and ensuring a high level of service.

5. Assist in the creation and preparation of presentations, reports, and financial documents.
6. Uphold confidentiality of all sensitive information, demonstrating discretion in all communications and interactions.
7. Conduct research, compile data, and prepare reports as required.
8. Collaborate effectively across teams to enhance project management and operational efficiency.
9. Assist in organizing company events and team-building activities.
10. Undertake special projects and perform additional duties as necessary to support the CEO and organizational objectives.

Qualifications

1. 1-3 years of experience as an Administrative Coordinator, preferably within a corporate environment. This experience should have equipped you with a thorough understanding of supporting high-level executives in a fast-paced, professional setting.

2. Proven ability to manage confidential information with the utmost discretion, coordinate complex schedules, and lead administrative projects to completion.

3. Experience in the construction, building, or renovation sector is advantageous, but not mandatory. This background will aid in understanding the unique challenges and opportunities faced by our CEO.
4. A Bachelor's degree in Business Administration, Communications, or a related field is preferred. Additional certifications relevant to executive administration or project management are highly regarded.
5. Proficient in MS Office and G Suite, with exceptional organizational, problem-solving, and time management skills.
6. Strong verbal and written communication abilities, with a keen attention to detail.
7. Ability to multitask and prioritize responsibilities in a fast-paced environment.
8. Highly motivated, with a strong work ethic. Ability to work independently, exhibit strong decision-making skills, and demonstrate a proactive approach to challenges.
