Role Overview
The Client Service Associate serves as a key player in enhancing the firm's operational efficiency and client experience. This role requires strong communication skills and a professional demeanor to provide outstanding service to clients and team members alike. Responsibilities include:

  • Administrative Support
    • Act as the first point of contact for visitors, showcasing a positive attitude.
    • Manage incoming phone calls, accurately taking messages and directing calls appropriately.
    • Schedule meetings and maintain calendars for team members.
    • Organize electronic and paper filing systems to ensure efficiency.
    • Assist in coordinating marketing efforts, managing client communications.
    • Collaborate with external vendors and consultants as needed.
    • Support the preparation of client tax returns, including document scanning and data entry.
    • Gather information for client accounting services.
    • Track and report on professional development hours.
    • Perform other administrative tasks as required.
  • Client Service
    • Prepare and submit new account paperwork, ensuring all forms are completed accurately.
    • Handle routine client account matters, including updates and inquiries.
    • Assist in preparing for client meetings, including agenda distribution and material preparation.
    • Communicate with clients to resolve service challenges.
    • Effectively manage and prioritize client service tasks, adhering to CRM workflows.
    • Monitor outstanding client service items, proactively addressing issues and providing updates.
    • Guide clients in understanding their requirements and ensure follow-through.
    • Support prospective client processes.
    • Assist clients with online account navigation.
    • Perform additional client service-related tasks as necessary.
  • Operations Support
    • Conduct data entry and generate reports using various software and spreadsheets.
    • Assist in developing and updating client service workflows within the CRM system.
    • Contribute to additional operational projects, including technology initiatives and data analysis.
Qualifications
  • A strong commitment to delivering high-quality performance in all tasks.
  • Minimum of 3 years of experience in professional services, preferably in Wealth Management or Accounting.
  • High school diploma or equivalent; a Bachelor's degree is highly preferred.
  • Friendly and approachable demeanor.
  • Excellent written and verbal communication skills.
  • Proven experience in administrative and client service roles.
  • Strong organizational and time management abilities.
  • Attention to detail and accuracy in data entry and recordkeeping.
  • Able to self-manage and prioritize effectively while following established procedures.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • A curious mindset with a commitment to ongoing professional development.
  • Familiarity with core platforms such as Redtail and Microsoft Suite is preferred.
