Position Overview:
The Service Coordinator plays a crucial role in ensuring seamless service delivery. This position is tasked with organizing service appointments, addressing customer inquiries, managing dispatch operations, overseeing billing processes, and handling contract documentation. Additional support may be provided to warehouse and administrative functions as required.

Key Responsibilities:

  • Organize and schedule service appointments, dispatching technicians efficiently to enhance productivity.
  • Create and manage work orders, keeping customers informed and coordinating with technicians.
  • Verify completion of work orders by reviewing documentation and following up on outstanding items.
  • Prepare and finalize contract and quality control paperwork.
  • Coordinate subcontractor assignments as necessary.
  • Collaborate with technicians to ensure timely and accurate completion of all required documentation.
  • Maintain organized appointment schedules and manage material and equipment orders.
  • Receive and distribute materials and equipment to technicians as needed.
  • Compile daily reports and assist in logistical coordination, including customer notifications and equipment procurement.
  • Conduct physical inventory checks and serve as a liaison among Sales, Project Managers, and technicians.
  • Perform other related duties as assigned.
Qualifications:
  • High School Diploma or equivalent.
  • A minimum of 3 years of experience in administrative roles within a service or sales environment, with familiarity in ERP systems preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
Skills and Attributes:
  • Strong organizational skills with a keen attention to detail.
  • Excellent verbal and written communication abilities.
  • Sound decision-making skills and the ability to exercise discretion.
  • Proficient in problem-solving and capable of escalating issues when necessary.
  • Ability to analyze and interpret data effectively.
  • Experience in dispatching and scheduling operations.
Physical Requirements:
  • Regularly required to sit, twist, and use hands and arms for various tasks.
  • Frequent standing and walking are necessary.
  • Must be able to lift and/or move up to 10 pounds regularly and up to 25 pounds occasionally.
  • Specific vision abilities required include close and distance vision, color vision, and the ability to adjust focus.
  • Must be capable of driving a vehicle for extended periods, including nighttime driving.
Work Environment:
  • Typical office setting with a moderate noise level.
