Job Summary: Ambercare is seeking a skilled Service Coordinator to oversee administrative, business, and operational activities in our branch office. This role is responsible for coordinating various tasks, ensuring client satisfaction, and maintaining a professional work environment.
Key Responsibilities:
- Coordinate new hire onboarding, ensuring timely and accurate completion of documentation.
- Manage employee records, including payroll records, to ensure accuracy and compliance.
- Collaborate with the Corporate HR team to facilitate benefit enrollment processes.
- Train and onboard new branch administrative employees.
- Address client complaints and theft claims in a thorough and timely manner.
- Ensure completion of WOTC applications, Forms I-9, and other applicable paperwork for new employees.
- Report leave of absence requests and assist the HR team with the leave process.
- Coordinate training for new and current employees, including quarterly in-service meetings.
- Oversee compliance with HR processes and procedures throughout the branch.
- Ensure timely submission of A/P related paperwork for payment.
- Follow up on private duty assessments and deposits.
- Supervise monthly service monitoring calls with the state Department on Aging.
- File APS reports and handle related employee issues.
- Respond to and resolve service complaints filed with the state or state agencies.
- Maintain a professional appearance in the branch office, ensuring it is neat, clean, and organized.
- Supervise purchasing and material management functions for branch office supplies.
- Maintain confidentiality due to access to sensitive information.
- Ensure regular, predictable attendance and flexibility to meet agency needs.
- Comply with Medicare, Medicaid, and HIPAA regulations and requirements.
- Abide by all regulations, policies, procedures, and standards.
Requirements & Competencies:
- High school diploma or equivalent.
- Preferred additional education, such as a diploma from an accredited vocational school or college.
- Three to five years of recent experience working in a healthcare environment or related field.
- Understanding of basic medical terminology.
- Interpersonal, organizational, and communication skills.
- Computer skills, including Microsoft Word, Microsoft Excel, and scheduling programs.
- Bilingual preferred.
