Service Operations Coordinator

This role entails managing service appointments and inspections, addressing customer inquiries, dispatching personnel, reviewing billing, and handling contract documentation.
Key Responsibilities:
- Schedule service appointments and dispatch technicians efficiently to enhance productivity.
- Generate work orders, update customers on status, and follow up with technicians.
- Ensure work orders are finalized by reviewing notes and addressing outstanding items.
- Complete contract and quality control documentation.
- Coordinate subcontractor assignments.
- Collaborate with technicians to ensure timely and accurate completion of paperwork.
- Maintain appointment schedules and manage material and equipment orders.
- Receive and distribute materials and equipment to technicians.
- Prepare daily reports and assist in coordinating activities such as scheduling and equipment procurement.
- Conduct physical inventory checks.
- Serve as a liaison between Sales, Project Managers, and technicians.
- Perform additional duties as required.
Qualifications:
- High School Diploma or equivalent (GED) is required.
- A minimum of 3 years of experience in administrative roles within a sales or service sector is preferred, along with familiarity with ERP systems.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential.
Skills and Attributes:
- Strong decision-making abilities and exceptional organizational skills.
- Excellent verbal and written communication skills.
- Ability to exercise discretion and escalate issues as necessary.
- Competence in data analysis and interpretation.
- Attention to detail with a focus on speed and accuracy.
- Experience in dispatching and scheduling.
Physical Requirements:
- Regularly required to sit, twist, reach, handle, push, pull, or feel; speak and hear.
- Frequently required to stand and walk.
- Must be able to lift and/or move up to 10 pounds regularly and up to 25 pounds occasionally.
- Specific vision abilities required include close vision, distance vision, color vision, and the ability to adjust focus.
- Must be capable of driving a vehicle for extended periods, including at night.
Work Environment:
- Typical office setting with a moderate noise level.
