Job Summary

We are seeking a highly skilled and experienced Administrative Director to join our team at Weill Cornell Medical College. The successful candidate will be responsible for managing the administration of the Chair's Office, ensuring that all activities are carried out in an efficient and effective manner.

Key Responsibilities
  • Staff Supervision: Oversee the supervision and development of administrative staff within the Chair's executive suite and other departmental divisions.
  • Work Assignment and Performance Evaluation: Assign and direct work assignments, conduct performance evaluations, and assess coverage needs.
  • Communication and Coordination: Serve as the frontline communicator and point of contact for the Chair's office, facilitating, interpreting, prioritizing, and disseminating messages to and from internal and external key constituencies.
  • Scheduling and Time Management: Manage the Chair's schedule, maintaining calendars by balancing competing priorities and requests for maximum productivity.
  • Travel Arrangements and Meeting Coordination: Oversee travel arrangements for the Chair and designated visitors, and organize conference calls, meetings, and web-ex sessions.
  • Contract Management and Renewals: Responsible for contract deadlines and renewals.
  • Project Support: Support the Chair with the attainment of project objectives and timetables, coordinating approvals and interactions with key stakeholders as needed.
  • Disbursement and Procurement: Responsible for disbursement/reimbursement activities and procurement activities related to goods, services, and/or equipment.
  • Faculty Affairs: Facilitate faculty affairs, including recruitment, annual reviews, and promotions.
  • Event Planning: Coordinate on and off-site dinners and special events for fundraisers and other functions.
Requirements
  • Education: Bachelor's Degree in a related field.
  • Experience: Approximately 2-3 years of related experience, preferably in an academic healthcare or research setting. Approximately 5-7 years of progressively responsible administrative experience highly desired.
  • Skills and Abilities: Demonstrated ability to work effectively in a collaborative manner with all departmental faculty and staff, as well as other institutional representatives. Excellent verbal and written communications and interpersonal skills. Problem-solving and decision-making skills and the ability to make decisions independently. Highly organized and able to prioritize and handle multiple tasks simultaneously. Demonstrated proficiency with MS Office Suite and database applications.
