We are in search of a highly adaptable and meticulously organized individual with a robust background in business administration and extensive experience in high-level executive support to fulfill the role of Executive Assistant to our Senior Leadership. The ideal candidate will demonstrate sound judgment across various scenarios, possess exceptional written and verbal communication skills, and exhibit strong organizational capabilities while managing multiple priorities effectively.

Key Responsibilities:

  • Oversee executive tasks and errands efficiently.
  • Manage comprehensive calendar scheduling and coordination of both professional and personal appointments.
  • Act as an office manager by maintaining inventory of office supplies and executing necessary administrative duties.
  • Handle sensitive matters with utmost confidentiality and discretion.
  • Ensure the kitchen and office supplies are consistently stocked, organized, and maintained, including managing the coffee machine and other kitchen essentials.
  • Coordinate office lunches bi-weekly.
  • Welcome and assist visitors, ensuring a hospitable environment.
  • Maintain an organized office space, including the arrangement of product samples.
  • Proactively approach office-related objectives and tasks.
  • Plan and organize special events and gatherings, managing all aspects from invitations to logistics.
  • Collaborate with department heads on special projects as needed.

Qualifications:

  • A minimum of 1 year of experience as a Personal Assistant or Executive Assistant, showcasing a successful history of engagement with senior management.
  • Ability to thrive in dynamic environments where each day presents new challenges.
  • Exceptional time management and organizational skills, excelling in fast-paced settings with multiple concurrent projects.
  • Proficient in clear verbal and written communication, particularly in interdepartmental coordination.
  • Dedicated to meeting the needs and expectations of senior executives while fostering productive relationships with stakeholders.

The total compensation for this position is projected to range from $60,000 to $70,000, varying based on experience, knowledge, skills, and abilities relevant to the role.
