Job Overview

We are seeking an experienced Administrative Coordinator to join our team at Churchill Downs Racetrack LLC. This role will provide administrative support to the President and General Manager, ensuring seamless day-to-day operations.

About the Role

  • Provide executive-level administrative support to the President and General Manager, including scheduling, travel coordination, and correspondence.
  • Coordinate Derby Week activities, including hospitality arrangements, invitations, and credential requests.
  • Assist with special projects, such as annual race dates and sports book applications.
  • Organize departmental presentations, meetings, and events.
  • Supervise the operation of the Directors Room during the race meet.
  • Prepare expense reports, contracts, and requisitions through SAP platform.
  • Assist with budget planning, financial projections, and invoice processing.
  • Write, edit, and proofread internal and external documents.

Required Skills and Qualifications

  • Bachelor's degree (BA) or 3-5 years of equivalent work experience.
  • Excellent written and verbal communication skills, organizational skills, attention to detail, and computer skills.
  • Advanced proficiency in Microsoft Windows (Outlook, Word, Excel, PowerPoint, OneDrive, Teams), and the SAP Platform (Agiloft, Ariba, and Concur).
  • Knowledge of the racing industry is a plus.
