Parts Logistics Specialist

Overview:
The Parts Logistics Specialist plays a crucial role in the Parts Department by overseeing the effective procurement and distribution of components to ensure the achievement of organizational profitability targets, service timelines, and operational goals while fostering reliability and enhancing customer satisfaction.
Key Responsibilities:
Reporting to the Parts Manager, this position is responsible for coordinating the acquisition of job-specific components and the distribution of materials.
- Procures parts for contractual commitments, quoted projects, and urgent requests.
- Supports the Parts Administrator in tracking all acquisitions and receiving items into the central warehouse.
- Generates purchase orders for departmental acquisitions and assists with order creation for other departments as authorized.
- Updates system notes and work statuses to accurately reflect order fulfillment progress.
- Oversees the distribution process, collaborating with Operations team members to ensure timely fulfillment and delivery of orders, including managing remote locker/warehouse schedules.
- Examines parts and materials prepared for distribution, ensuring accuracy and completeness in staging and delivery.
- Assists the Parts Manager in maintaining inventory controls and electronic records for all items.
- Participates in scheduled cycle counts and comprehensive warehouse inventories to verify the accuracy of recorded inventory levels.
- Provides support to technicians, Service Sales team, and other Operations members regarding parts inquiries and research, including part number identification and cross-referencing.
- Collaborates with the Parts Manager to identify alternative suppliers and negotiate services, programs, and pricing with existing vendors to optimize costs and improve logistical efficiency.
- Analyzes inventory, aging, and purchasing reports to inform decision-making.
- Works closely with the Accounting department for purchasing review and inventory valuation.
- Offers backup support to the Parts Administrator during peak periods.
- Performs additional duties as assigned.
Essential Skills:
- Preferred electromechanical aptitude.
- Proficient in electronic systems for purchasing, receiving, and inventory management using industry-standard software.
- Demonstrates attention to detail and adherence to standard procedures.
- Proficient in MS Office applications and comfortable with database systems.
- Strong team player with effective collaboration skills.
- Exhibits strong administrative capabilities: analytical, organized, and excellent communication skills.
Qualifications:
- High School Diploma required.
- 2-5 years of experience in purchasing and receiving parts or a related field.
- Experience in inventory management is advantageous.
- Desirable experience in automotive parts, industrial machinery, commercial HVAC/refrigeration, or similar fields.
