Reports To: Sales Manager

Working Days: Sunday - Saturday

Working Hours: 40 hours per week; may include evenings, holidays, and extended hours as necessary.

Position Summary

The Event Planning Specialist plays a crucial role in supporting the Sales Consultant to meet established sales targets. This position is pivotal in nurturing client relationships and representing the brand positively.

Key Responsibilities:
  • Assist the Sales Manager in ensuring timely and enthusiastic responses to inquiries and leads, actively seeking new business through networking and prospecting efforts.
  • Foster a culture where clients are encouraged to return, ensuring their expectations are met through effective communication and service.
  • Maintain thorough and accurate documentation of proposals and client interactions.
  • Oversee event execution, including proposal development, menu planning, logistics, and data management to meet profitability objectives.
  • Collaborate with Operations and Service Departments to ensure seamless event preparation and execution, offering recommendations for process improvements.
  • Adhere to internal deadlines for event production documentation, including Supervisor Packs and production meetings.
  • Participate in weekly production meetings.
  • Work closely with the Culinary team to create high-quality, innovative presentations and proposals.
  • Coordinate with the Accounting/Billing Department to ensure accurate final billing and timely collection of accounts receivable.
  • Support Blue Plate functions as required.
  • Maintain confidentiality regarding sensitive information.
  • Develop a comprehensive understanding of the Blue Plate Vision.
  • Effectively engage with clients in the absence of the Sales Manager.
  • Perform additional tasks as assigned by management.
Qualifications:

Education and Experience:

  • Associate's degree in Business Administration, Marketing, Hospitality, or a related field; Bachelor's degree preferred.
  • At least 2 years of experience in the hospitality sector is preferred.
  • Basic understanding of off-site catering and event management.
  • Genuine interest in food, menu design, and creative event planning.
Essential Skills:
  • Demonstrated commitment to Blue Plate's mission of exceptional service and culinary experiences.
  • Ability to identify and resolve issues proactively and communicate effectively with leadership.
  • Capacity to work independently in a fast-paced environment.
  • Excellent verbal and written communication skills, capable of producing clear and concise reports and presentations.
  • Highly organized with meticulous attention to detail.
  • Proactive, results-oriented mindset with an entrepreneurial spirit.
  • Strong project management skills, able to juggle multiple priorities.
  • Ability to engage with diverse groups and promote a collaborative work atmosphere.
  • Capacity to handle confidential information with integrity.
  • Proficient in MS Office, Google applications, and catering/CRM software.
  • Local travel may be required.
Language Proficiency:

Ability to read, write, and speak English fluently; bilingual skills are a plus.

Physical Requirements:

The physical demands of this role include:

  • Regular communication and auditory engagement.
  • Ability to perform standard office tasks, including prolonged periods of sitting and computer use.
  • Occasional lifting of up to 20-25 pounds.
  • Potential for extended hours beyond the standard workweek to fulfill job responsibilities.
  • Fine motor skills for tasks such as typing.
Work Environment:

Employees may encounter various weather conditions and noise levels typical of both restaurant and office settings while performing their duties.
