Position: Customer Service Representative

Location: Raleigh, NC

Department: Operations

Reports To: Customer Service Unit Supervisor

Position Overview

The Customer Service Representative is responsible for managing both verbal and written communications from agents, clients, third parties, and various departments.

Qualifications and Skills Required

We prefer candidates with a four-year degree, business school background, or equivalent professional experience.

Familiarity with company policies and procedures, particularly those relevant to the Operations Department, is advantageous.

  • A professional and approachable demeanor.
  • Strong analytical skills.
  • Ability to manage a high volume of calls and perform well under pressure.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Experience in effective correspondence.
  • Basic proficiency in Microsoft Word, Excel, and Outlook.
  • Prior experience with Policy Center and billing systems is preferred.
  • Basic understanding of using queries for payment information is beneficial.
  • Willingness to travel as necessary.
  • Completion of INS 21 is preferred.

Key Responsibilities

The major duties of this role include:

  • Daily correspondence with agents, clients, and third parties, addressing emails, premium inquiries, and complaints.
  • Documenting interactions in the Customer Service database.
  • Following up on issues raised via phone or written communication.
  • Maintaining weekly performance metrics and reports.
  • Processing credit card transactions.
  • Setting up payment schedules and promissory notes.
  • Assisting with mail sorting and routing within the unit.
  • Supporting payment processing for NCJUA and unidentified payments.
  • Filing loss notices through the designated system.
  • Collaborating with other personnel as needed.
  • Reviewing information for Continuous Coverage Reviews and determining the need for management escalation.
  • Gaining proficiency in both PC and mainframe applications.
  • Participating in company meetings and training sessions as required.
  • Performing additional duties as assigned by the Customer Service Unit Supervisor or Operations Division Manager.
