Job Summary

The Administrative Specialist Lead serves as a key member of the UCLA Health team, overseeing the coordination of patient care and administrative tasks for the Gyn Oncology clinics. This role requires a high level of expertise in patient care coordination, with a focus on ensuring seamless patient flow, minimal wait times, and overall patient satisfaction.

Key Responsibilities

  • Coordinate patient scheduling, including surgery scheduling and pre- and post-operative educational materials
  • Assist with work assignment, work coverage, and training for practice support staff
  • Supervise employees, including selection, training, work assignment, performance review, and providing constructive feedback
  • Collaborate with physicians, residents, research associates, fellows, students, and staff to optimize patient care and experience
  • Develop and implement action plans to improve operational efficiency and customer service
  • Ensure compliance with UCLA Health's processes and resources, as well as medical center procedures and EPIC/CareConnect system
  • Communicate effectively with patients, families, physicians, and clinic staff to ensure smooth patient flow and minimal wait times

Requirements

  • General knowledge of disease processes and patient treatment modalities
  • Knowledge and understanding of medical terminology
  • Minimum of 5 years experience in patient care coordination role, preferably within OB/GYN
  • Ability to establish and maintain cooperative working relationships with physicians, residents, research associates, fellows, students, and staff
  • Demonstrated ability to supervise employees, including selection, training, work assignment, performance review, and providing constructive feedback
  • Ability to communicate effectively with patients, families, physicians, and clinic staff
  • Working knowledge of laboratory practices and procedures, as well as medical center procedures and EPIC/CareConnect system
  • Knowledge of insurance companies admission procedures and policies, as well as coding systems including ICD-9 and CPT codes for billing purposes

Salary Range

$22.03 – $43.68 Hourly
