Job Overview

Dynamic Event Production Company is seeking a Crewing Administrative Manager to oversee and coordinate crew schedules while providing essential front office support.

The successful candidate will maintain consistent communication with all crew members, available personnel, staffing agencies, and internal teams, serving as the primary point of contact for crews and staff during unforeseen staffing changes, and contributing to effective solutions.

Key Responsibilities:

  • Recruit, select, and hire additional personnel in collaboration with relevant Department Heads.
  • Manage crew schedules and rotations efficiently.
  • Facilitate training sessions and ensure adherence to regulatory and documentation requirements.
  • Collaborate closely with the HR/Payroll department to ensure timely submission of onsite hours.
  • Maintain and regularly update the crew database.
  • Verify that insurance requirements are fulfilled for all venues.
  • Ensure that all onsite and in-house subcontracted labor is adequately insured, with all agreements and addendums properly documented.
  • Organize and maintain files related to Certificates of Insurance for Annual Workers Compensation Audits.
  • Perform general clerical tasks, including welcoming visitors, answering phone calls, managing calendars, sorting mail, scanning, printing, filing, assisting in mass mailings (for pension plans, medical, etc.), updating the staff directory, maintaining project logs, and managing office supply inventory.

Qualifications:

  • Strong ability to handle complex and fast-paced scheduling with multiple projects running concurrently.
  • Basic knowledge of business insurance and related concepts.
  • Proactive self-starter willing to assist in areas where support is needed.
  • Excellent interpersonal and communication skills; a true team player.
  • Exceptional organizational skills with a solution-oriented mindset.
  • Able to maintain accurate records and an efficient filing system.
  • Proficient command of the English language; multilingual capabilities are advantageous.
