This role will involve managing incoming calls, directing them to the right personnel, handling mail distribution, and ensuring smooth correspondence flow, along with other clerical responsibilities. Being a collaborative team player is crucial for this position.
KEY RESPONSIBILITIES
· Welcome and guide visitors to the office
· Manage phone calls and connect callers to the appropriate staff or voicemail as necessary
· Provide callers with essential information such as company contact details, directions, and other relevant information
· Receive and distribute incoming mail
· Process company invoices
· Responsible for meter readings of office equipment
· Coordinate supply pickups at the front desk
· Digitally archive all administrative projects as assigned
· Assist with various special projects to help achieve the goals of the Administrative Team and the organization
· Track supply orders and communicate with the warehouse manager and Operations lead via email
· Perform other duties as required
QUALIFICATIONS AND SKILLS
- High School diploma required; college degree preferred
- 3-5 years of experience in an administrative role
- 1-2 years of experience in data entry
- Highly organized with the ability to manage multiple priorities
- Proficient in Microsoft Office Suite, with advanced Excel skills preferred
- Strong communication skills
- Must align with and promote Offix's commitment to Total Customer Satisfaction
· Familiarity with e-Automate software is a plus
· Excellent problem-solving and analytical abilities with a track record of enhancing business processes
· Strong interpersonal skills and a professional demeanor to work effectively within a team.
Compensation details: $15-$18 Hourly Wage
