Job Overview

We are seeking a meticulous and skilled Tax Office Operations Coordinator to become a vital part of our team at Potentia Tax. The successful candidate will possess at least two tax seasons of experience, demonstrate proficiency in Lacerte tax software, and exhibit strong interpersonal skills in client relations and office management.

Key Responsibilities:

  • Office Administration:
    • Supervise the daily functions of the tax office.
    • Ensure the availability and maintenance of office supplies and equipment.
    • Uphold a tidy, organized, and professional workspace.
  • Client Engagement:
    • Welcome clients, manage phone inquiries, and respond to emails with professionalism.
    • Coordinate client appointments and oversee the office schedule.
    • Collect and safeguard client documentation, ensuring confidentiality.
    • Deliver outstanding client service to boost satisfaction and loyalty.
  • Record Keeping:
    • Maintain orderly digital and physical filing systems.
    • Ensure accurate filing of client records for easy retrieval.
    • Handle sensitive information with the highest level of discretion.
  • Support for Tax Preparation:
    • Assist tax professionals with both electronic and paper filing of tax returns.
    • Provide administrative support to tax professionals utilizing Lacerte software.
    • Ensure all client data is entered accurately and kept current.
    • Efficiently troubleshoot and resolve issues related to Lacerte tax software.
  • Team Support:
    • Collaborate closely with tax professionals, accountants, and other office personnel.
    • Promote a cooperative and supportive team atmosphere.
    • Offer training and assistance to new administrative staff as required.

Qualifications:

• A minimum of two tax seasons of experience in a tax office or a related field.
• Proficient in Lacerte tax software.
• Strong client-facing experience with excellent communication and interpersonal abilities.
• Competent in Microsoft Office Suite (Word, Excel, Outlook) and other office management tools.
• Exceptional organizational and multitasking capabilities.
• Ability to manage confidential information with integrity.
• Detail-oriented with a commitment to accuracy.
• Familiarity with tax laws and regulations is advantageous.

• Proactive in seeking out new tasks and responsibilities.
• Maintains a positive attitude and encourages others to stay motivated.
• Takes ownership of their work and contributes to the overall success of the team.

Work Environment:

This role is situated in a professional office setting with standard office hours, which may extend during peak tax periods.
