The Office Operations Coordinator will oversee facility management, administrative tasks, event coordination, and more. This role is pivotal as the first point of contact for visitors, ensuring that everyone who interacts with Centura receives an outstanding experience.
Key Responsibilities:
- Oversee daily office operations, ensuring that supplies are replenished, including kitchen essentials, and that workspaces are organized.
- Manage budget compliance for cafeteria and general office supplies.
- Collaborate with the People & Culture team to ensure HR compliance and assist in organizing company events.
- Welcome visitors by offering refreshments, checking them in, and notifying their hosts.
- Monitor visitor compliance with company standards.
- Provide initial support for incoming calls.
- Facilitate the onboarding process by coordinating IT equipment delivery and assisting new hires with setup.
- Schedule meetings for the administrative team as required.
- Arrange travel logistics for out-of-town guests.
- Create shipping labels for onboarding, offboarding, or other organizational needs.
- Receive and categorize mail for various departments, ensuring sensitive materials are handled appropriately.
- Document minutes for weekly meetings or other company-wide gatherings.
- Assist in the execution of company events.
- Perform additional duties as assigned.
Qualifications & Experience:
- A minimum of 1 year of experience in an administrative capacity supporting diverse functions and collaborating with various organizational levels.
- Bachelor's degree is preferred.
Skills and Competencies:
- Exceptional organizational skills, with strong communication and listening abilities, fostering trust and inclusivity within teams.
- Experience in various working environments (online, in-person, remote).
- Accountable and detail-oriented, skilled in executing processes efficiently.
- Able to manage multiple tasks simultaneously and prioritize effectively.
- Exhibit a growth mindset, eager to learn and help others improve.
- Demonstrate a strong sense of urgency while maintaining high-quality work standards.
Technical Proficiency:
- Proficient in Microsoft Office Suite: Excel, Outlook, Word, PowerPoint.
- Familiarity with Salesforce.
