ADMINISTRATIVE ASSISTANT DUAL ROLE

The Defender Association of Philadelphia is seeking an Administrative Assistant for its Capital Habeas Unit. This role is pivotal in supporting the Financial Officer with comprehensive financial management tasks, including but not limited to bill payment processing, meticulous record keeping, and vendor oversight.

In addition to financial duties, the successful candidate will undertake various administrative and legal support responsibilities. These tasks include coordinating travel arrangements for case-related matters, preparing travel authorization documentation for legal personnel, reconciling timekeeping records within the case management system, and ensuring the accurate editing, formatting, and filing of legal documents with relevant courts.

The office is dedicated to representing individuals facing federal charges from the initial stages through to appeals, as well as engaging in post-conviction litigation for those contesting state and federal convictions and sentences. Our team also actively participates in capital case trials, advocating for death-sentenced individuals throughout all phases of federal habeas corpus proceedings.

The ideal candidate will possess a minimum of five years of extensive administrative experience within a legal context, ideally in a practice centered on criminal, appellate, or federal law. A bachelor's degree is preferred. Candidates should have at least three years of experience in accounts payable, which encompasses bill payment processing, bank reconciliations, account reconciliations, month-end close support, financial audits assistance, and daily accounting operations support.

Proficiency in accounting principles, practices, and techniques is essential, along with the ability to assess and analyze relevant facts, regulations, and policies. Full cycle bill payment processing experience is highly desirable. Candidates must demonstrate strong attention to detail and proficiency in Excel, Word, and Adobe. Excellent organizational, communication, and time management skills are crucial. Familiarity with QuickBooks and automated accounts payable systems is a plus. The ability to occasionally lift and/or move up to 25 pounds is required.
