Executive Assistant Opportunity

A prestigious law firm in Washington D.C. is seeking a highly skilled Executive Assistant to support their team. This role involves providing exceptional administrative support to 2 Partners and 4-5 Attorneys, ensuring seamless execution of core tasks such as calendar management, travel arrangements, expense tracking, document editing, and phone coverage.

Key Responsibilities:
  • Manage complex calendars, prioritizing tasks and meeting deadlines.
  • Liaise with clients and their support staff.
  • Produce high-quality documents, including correspondence, amendments, and proofreading.
  • Coordinate travel arrangements for Partners and attorneys.
  • Provide general administrative support, including photocopying, printing, and scanning.
  • Support a collaborative team environment by covering for colleagues and offering assistance when needed.
  • Ensure telephones are covered and answered promptly and professionally.
  • Maintain knowledge of key clients and the firm's strategic objectives.
  • Support compliance by tracking engagement letters, emails, and time recording.
  • Assist with billing, editing bill narratives, preparing client bills, and liaising with Revenue Controllers.
  • Handle expense management, submitting claims on a weekly basis.
Requirements:
  • Bachelor's or Associate's Degree.
  • 3-5 years of experience in a law firm or supporting a General Counsel, with experience in billing for attorneys.
  • Technical proficiency in Outlook, Excel, PowerPoint, Word, and MS Teams, Google Meet, Zoom, Salesforce, and Condeco.
  • Independent thinking, polished, proactive, resourceful, and attention to detail.
  • Excellent communication and organizational skills, with the ability to work under pressure.
  • Discretion and confidentiality when handling sensitive information.
  • A committed and flexible approach, with the ability to work well in pressured situations.
