Position Overview

The Office for Research at Columbia University is looking for a Grants Coordinator to join the Pre-Award Team. Under the guidance of the Director, the Grants Coordinator will assist in all pre-award administrative functions related to grant applications for various departments. The primary role of this position is to support faculty in the submission and management of grants and contracts, including progress reports and subawards.

Key Responsibilities

  • Assist Principal Investigators (PIs) in the creation, review, and submission of Federal, State, and foundation grant applications. Manage timelines to ensure timely completion of high-quality proposals;
  • Train under the supervision of the Director and senior staff to develop a comprehensive understanding of federal regulations governing research grants and stay updated on sponsor requirements;
  • Support the preparation of grant budgets and justifications in compliance with sponsor policies, while collaborating with external partners and establishing subcontracts;
  • Maintain accurate records of PIs' other support, biosketches, and grant submission documents;
  • Address issues in RFAs and summary statements prior to submission;
  • Ensure progress reports are completed and submitted as mandated by the sponsoring agency;
  • Track the status of pending applications and follow up with investigators regarding review and funding status;
  • Ensure completeness of files for awarded applications and follow up on missing information;
  • Maintain standards for budget templates, checklists for core staff and PIs, and an organized filing system using shared drives;
  • Foster positive relationships with funding agencies, collaborating organizations, and internal offices. Gain expertise in grants administration through training with senior staff;
  • Collaborate effectively with faculty, grant writers, proposal development teams, and all aspects of grant administration.

Minimum Qualifications

  • Bachelor's degree or equivalent in education and experience, plus 2 years of relevant experience required.

Preferred Qualifications

  • A bachelor's degree in biological sciences or a business-related field such as finance, accounting, or public administration.
  • Prior experience in an academic grant-funded environment.

Other Requirements

  • Proficient in Microsoft Office, particularly Excel.
  • Demonstrated customer service skills with the ability to collaborate with diverse groups and work independently in a fast-paced environment.
  • Excellent analytical, organizational, interpersonal, and communication skills.
  • Ability to manage multiple projects effectively, demonstrating initiative and adaptability.
