Position Summary:


As an IT Asset Management Specialist, you will oversee the comprehensive lifecycle of hardware and software assets, ensuring their effective deployment, recovery, and inventory management. Your responsibilities will include the distribution of products to users, retrieval from users, management of warranty renewals, procurement processes, and the recycling and secure disposal of hardware. You will be integral in maintaining a well-organized inventory system and will collaborate with vendors to guarantee timely and cost-efficient product delivery to various locations. Working closely with the Service Desk team, you will ensure prompt resolution of requests as necessary.

Your role is crucial in ensuring the smooth operation of the organization's hardware and software systems. Your meticulous attention to detail and dedication to maintaining an efficient inventory will significantly contribute to the credit union's overall success.

Effective communication is essential, involving daily verbal, written, and electronic interactions with colleagues to provide exceptional service.


Key Responsibilities:

IT Asset and Request Management:

  • Deploy hardware and peripherals to users following established protocols.
  • Coordinate the shipping and receiving of products to and from various locations.
  • Manage the recovery and retrieval of products from users as needed.
  • Implement hardware recycling practices in accordance with relevant regulations.
  • Oversee secure hardware destruction processes to protect sensitive information.
  • Collaborate with Service Desk personnel to ensure timely request resolutions.
  • Conduct quality control on all computers prior to deployment.

Product Lifecycle Management:

  • Recommend timely replacements and upgrades during budgeting cycles.
  • Perform cost analysis for lifecycle replacements to enhance budgeting decisions.
  • Track and manage warranties for all hardware and software, ensuring timely renewals.
  • Maintain strong relationships with vendors to streamline procurement processes.
  • Work with vendors to procure hardware and software, ensuring timely and cost-effective delivery.
  • Engage with stakeholders to understand business needs for hardware products.
  • Collaborate with the IT Enterprise Architecture team to research and recommend suitable products.

IT Asset Management System Oversight:

  • Act as the primary custodian of the inventory management system.
  • Serve as the point of contact for product receipt, ensuring assets are tagged and recorded.
  • Regularly update the inventory database to reflect asset status and availability.
  • Ensure all assets are accurately tagged in the inventory management system.
  • Maintain database accuracy and functionality to meet organizational needs.
  • Conduct regular audits to ensure inventory accuracy.
  • Develop and update Standard Operating Procedures (SOPs) related to IT asset management.
  • Generate and analyze reports on asset utilization and lifecycle status to support decision-making.

Qualifications:

Experience:

Minimum of two years in a similar role, with proven expertise in asset management, procurement, and inventory control.

Education:

Bachelor's degree in a relevant field or equivalent professional experience.
