We are seeking an experienced Administrative Assistant to join our team at IBSA USA.

The ideal candidate will have 2-5 years of previous experience and possess excellent written and verbal communication skills.

Responsibilities:

  • Clerical and administrative functions to help drive company success
  • Skillful problem solver and able to manage workload and priorities
  • Greet visitors and clients; record in sign-in book
  • Responsible for office supplies inventory
  • Attendance at internal meetings when appropriate
  • Prepping, editing, and proofing documents
  • Answer telephone calls
  • Oversee general office needs
  • Draft correspondences and other formal and informal documents
  • Work with the Promotional Review Committee Coordinator to organize, prioritize, and disseminate drafted materials and meeting agendas in preparation for the PRC meeting
  • Assist PRC Coordinator for tracking the approval/expiration dates for all materials, as applicable

Requirements:

  • Excellent written and verbal communication skills
  • 2-5 years previous experience
  • Previous experience in pharmaceutical industry preferred
  • Ability to prioritize and multitask
  • Strong knowledge of Microsoft Office Suite, especially PowerPoint and Excel
  • Billingual or multilingual is not required but business acumen a must
  • Capacity to follow complex instructions
  • Strong attention to detail
  • Strong organizational skills
