Senior Executive Assistant to the CEO

We are in search of a highly organized and strategic Senior Executive Assistant to provide essential support to our leadership team and facilitate seamless operations.
Position SummaryThis role reports directly to the Chief Executive Officer (CEO). The Senior Executive Assistant is responsible for delivering comprehensive administrative assistance and coordinating activities for the CEO. This position requires close collaboration with the CEO to convert high-level concepts into actionable strategies and ensure their successful implementation. Ideal candidates will be proactive, detail-oriented, and possess a strong background in executive support, coupled with a passion for organization and efficiency.
Key Responsibilities- Executive Support: Act as the primary liaison for the CEO, adeptly managing and prioritizing communications. Oversee the CEO's calendar with a focus on effective prioritization and time management to maximize productivity.
- Strategic Collaboration: Work closely with the CEO to translate overarching strategic ideas into actionable initiatives. Ensure clear communication of these initiatives across the organization to align all departments and team members.
- Report and Presentation Preparation: Aid in the creation of reports, presentations, and correspondence for the executive team, ensuring all materials are polished, precise, and in line with company standards.
- Task Delegation and Coordination: Support the CEO in assigning project-related tasks, ensuring clarity in responsibilities and deadlines for all team members. Regularly follow up on these tasks to guarantee timely completion and provide updates to the CEO.
- Project Documentation: Maintain thorough documentation of all ongoing projects, including project plans, status updates, and meeting notes, ensuring all records are current and accessible.
- Meeting Coordination: Organize and manage meetings, including preparing agendas, taking minutes, and following up on action items to ensure completion as planned.
- Correspondence Management: Manage all correspondence directed to the CEO, addressing routine matters independently and directing non-essential issues to appropriate senior staff. Ensure necessary follow-ups are conducted.
- Schedule Management: Oversee and coordinate the CEO's schedule, keeping the CEO informed of appointments, commitments, and potential conflicts. Proactively identify and resolve scheduling conflicts to ensure smooth operations.
- Meeting Support: Provide assistance for high-level meetings by preparing, editing, and assembling reports, as well as taking minutes when required.
- Drafting Communications: Compose memos, letters, and emails on behalf of the CEO, ensuring clarity, professionalism, and alignment with the CEO's voice and company standards.
- Routine Inquiries: Address questions and manage routine matters, acting as a gatekeeper for the CEO, ensuring that only essential issues are escalated to the CEO's attention.
- Other duties as assigned.
- Experience: Minimum of 2 years in an Executive Assistant role or similar administrative support position, demonstrating a history of providing high-level support in a dynamic environment.
- Administrative Expertise: Proficient in administrative functions, including coordination, planning, and office management, ensuring seamless operations within the organization.
- Technical Proficiency: Strong knowledge of project management tools, with experience in Notion being a distinct advantage. Ability to quickly adapt to new technologies and systems.
- Communication and Organization: Exceptional communication, systematization, and organizational skills, with a focus on maintaining accuracy and attention to detail in all tasks.
- Multitasking: Proven ability to effectively manage multiple priorities in a fast-paced environment, demonstrating flexibility and agility in response to changing needs.
- Confidentiality: Must maintain the highest level of confidentiality regarding company information, particularly concerning sensitive matters under review by the Chief Executive Officer.
- Integrity and Accuracy: A strong commitment to integrity and precision, ensuring that all work is completed with a high degree of accuracy and attention to detail, reflecting DueTT's dedication to excellence in all operations.
