Job Overview

As a pivotal member of the Facilities team at United Heritage Credit Union, the Facilities Administrative Assistant plays a crucial role in supporting the operational efficiency of our facilities. Reporting directly to the Vice President of Branch Operations, you will oversee various administrative functions that ensure the smooth running of United Heritage Plaza.

Key Responsibilities:

  • Reception and Visitor Management: Act as the primary point of contact for all visitors at United Heritage Plaza. Ensure a welcoming environment by providing exceptional customer service, validating visitor identification, and issuing visitor badges.
  • Maintenance Coordination: Assist in scheduling and coordinating maintenance activities for the building and its equipment, ensuring all tasks are completed in a timely manner.
  • Administrative Support: Handle incoming communications, including phone calls and emails, while managing deliveries and correspondence. Maintain organized records and assist with various administrative tasks.
  • Facility Management: Ensure cleanliness and organization of common areas, including meeting rooms and break rooms. Order supplies and coordinate in-office events as needed.
  • Work Order Management: Manage the Facilities Work Order system by opening, distributing, and closing work orders, ensuring efficient tracking and resolution of requests.
  • Vendor Relations: Maintain the Preferred Vendor Listing and assist in the management of vendor contracts, ensuring compliance and cost-effectiveness.
  • Budget Assistance: Support the Facilities team in budget management by analyzing expenditures and identifying cost-saving opportunities.
  • Process Improvement: Evaluate existing administrative processes and propose enhancements to improve efficiency and effectiveness.

Qualifications:

  • High school diploma or GED required.
  • At least 2 years of experience in an administrative or support role.
  • Strong communication skills, both written and verbal.
  • Detail-oriented with excellent organizational abilities.
  • Proficient in Microsoft Office Suite and comfortable with various computer applications.

Preferred Qualifications:

  • Associate's or Bachelor's degree.
  • 3+ years of experience in an administrative support capacity.
  • Familiarity with facilities management or property management.
