Job Overview

As a key member of the Facilities team at United Heritage Credit Union, the Facilities Administrative Assistant plays a vital role in supporting the operational functions of our facilities. Reporting directly to the Vice President of Branch Operations, you will be instrumental in overseeing vendor and guest management, as well as ensuring the smooth operation of building services.

Key Responsibilities:

  • Reception and Customer Service: Act as the primary point of contact for visitors at United Heritage Plaza, providing exceptional customer service by managing check-ins, validating identification, and issuing visitor badges.
  • Maintenance Coordination: Assist in scheduling and coordinating maintenance activities for the building and its equipment, ensuring that all tasks are completed efficiently.
  • Administrative Support: Handle various administrative duties including answering phone calls, managing correspondence, and maintaining organized records for the Facilities department.
  • Facility Management: Ensure that common areas such as meeting rooms and break rooms are well-maintained and stocked with necessary supplies.
  • Work Order Management: Oversee the Facilities Work Order system, including the creation, distribution, and closure of work orders, ensuring timely responses to requests.
  • Vendor Relations: Maintain the Preferred Vendor Listing and assist in the management of vendor contracts and documentation.
  • Budget Assistance: Support the Facilities budget management by analyzing expenses and identifying areas for cost savings.
  • Process Improvement: Evaluate existing processes to propose enhancements that increase efficiency and productivity within the Facilities team.

Qualifications:

  • High school diploma or GED required.
  • At least 2 years of experience in an administrative or support role.
  • Strong communication skills, both written and verbal.
  • Excellent organizational abilities with a keen attention to detail.
  • Proficiency in Microsoft Office Suite and other relevant software.

Preferred Qualifications:

  • Associate's or Bachelor's degree.
  • 3+ years of experience in administrative support, particularly in facilities or property management.
  • Familiarity with building management systems and work order tracking.
