Job Overview

Under the guidance of the Assistant Friend of the Court for Operations, this role is pivotal in delivering clerical and case processing assistance to the Friend of the Court. The position entails managing caseflow in accordance with established Michigan Court Rules. Responsibilities include preparing daily court schedules, drafting correspondence and various legal documents, and offering a range of clerical and customer support services.

This is a full-time position with benefits, operating Monday through Friday, 8:00 am to 5:00 pm.

Key Responsibilities

The essential duties of this role encompass, but are not limited to:
  1. Providing assistance to clients via phone and in-person, clarifying Friend of the Court policies and procedures regarding child support, custody, and parenting time matters.
  2. Addressing client inquiries about their case status, including arrears, funds held in suspense, tax offsets, and other related issues, utilizing the case management information system.
  3. Distributing necessary forms for petitioning the Court regarding modifications to support, parenting time, custody, and requests for IV-D services.
  4. Managing the barcoding, scanning, and indexing of incoming and outgoing mail and documents to maintain accurate and updated case files.
  5. Drafting correspondence, orders, and other court-related documents.
  6. Maintaining an accurate and current bench warrant list reflecting enforcement actions.
  7. Reviewing divorce judgments and Uniform Child Support Orders for compliance and notifying attorneys of required corrections.
  8. Processing incoming and outgoing mail efficiently.
  9. Entering case data into the caseflow management system.
  10. Generating various caseflow management reports as needed.
  11. Coordinating investigators' appointment calendars and monitoring hearing schedules to ensure timely client direction to courtrooms.
  12. Overseeing office supply inventories and managing orders and invoice reconciliations.
  13. Executing office opening and closing procedures, including cash drawer accuracy checks.
  14. Performing various support tasks such as document copying, faxing, and preparing files for closure and off-site storage.
  15. May undertake additional functions as necessary to ensure effective caseflow and timely adjudication of cases.

Qualifications

REQUIRED KNOWLEDGE AND SKILLS:
  1. Exceptional customer service and interpersonal skills.
  2. Strong understanding of Michigan Court Rules and State Court Administrative Office regulations.
  3. Familiarity with Michigan Office of Child Support rules and requirements.
  4. Proficiency in computer applications, including word processing, spreadsheets, databases, and case management software.
  5. Fast and accurate typing skills.
  6. Comprehensive knowledge of privacy regulations related to court records.
  7. Understanding of document imaging protocols and equipment.
  8. Excellent organizational skills with the ability to prioritize tasks effectively.
  9. Strong verbal and written communication abilities.
  10. Ability to interact positively with a diverse range of individuals, including clients, attorneys, and court officials.

Education and Experience

Associate's degree in legal studies, office management, business information systems, or a related field, along with one year of progressively responsible experience in a public-facing role requiring fast and accurate typing skills, or an equivalent combination of education and experience.
