Position Overview

As a Receptionist, you will be the first point of contact for our company, welcoming guests and greeting people who visit the office. You will coordinate front-desk activities, including distributing correspondence and redirecting inquiries.

Key Responsibilities

  • Coordinate front-desk activities, including distributing correspondence and redirecting inquiries.
  • Answer and direct incoming inquiries.
  • Perform general clerical duties, including photocopying, faxing, and mailing.
  • Maintain electronic and hard copy filing systems.
  • Act as a contact person for internal and external clients and direct inquiries as appropriate.
  • Open, sort, and distribute incoming mail daily.
  • Assist in planning team events and activities.
  • Prepare and modify documents, including correspondence, reports, and emails.
  • Maintain corporate contact lists and prepare quarterly distributions.
  • Prepare agendas for weekly staff meetings and record, compile, and distribute meeting minutes.
  • Maintain office supply inventories and manage the refrigerator, coffee, and snack station.
  • Coordinate maintenance of office equipment and repairs.
  • Assist with miscellaneous projects within various departments.
  • Manage calendar and reservations for the lobby conference room.
  • Track, collect, and manage the Certificate of Insurance process.
  • Collect and input monthly tenant sales.
  • Assist the Office Manager and other Administrative Assistants as needed.
  • Ensure the general cleanliness of the office.

Qualifications

  • High school diploma or equivalent.
  • 2 years + of administrative experience preferred.
  • Positive attitude.
  • Strong verbal and written communication skills.
  • Attention to detail and organization skills.
  • Knowledge of Microsoft Office Suite.
  • Ability to handle a fast-paced environment.
