Position Overview:

Under the direct oversight of the Practice Manager, the Healthcare Customer Service Associate (HCSA) engages with incoming and outgoing patients and visitors, providing necessary assistance. The HCSA guides patients and visitors to the appropriate areas within the facility, ensuring interactions are conducted in a courteous, respectful, and professional manner at all times.

Key Responsibilities:

  1. Maintain effective communication between front desk personnel and clinical staff.
  2. Handle incoming telephone inquiries and provide assistance as required. Redirect calls to the appropriate department or individual and ensure timely message forwarding.
  3. Welcome patients and visitors, offering clear instructions to direct them to the correct department or individual.
  4. Manage daily patient appointment scheduling, respond to incoming calls, conduct appointment reminder calls, and retrieve medical records as necessary.
  5. Register and update patient demographic information in the patient accounting system on a daily basis.
  6. Facilitate the certification and recertification process for patients eligible for sliding fee discounts based on established criteria.
  7. Collect and record patient payments, advance payments, and payments on account in the patient accounting system daily.
  8. Maintain a clean and organized workspace.
  9. Report any suspicious activities observed in or around the facility to the supervisor or management.
  10. Safeguard all patient Protected Health Information (PHI) and personal information in accordance with confidentiality agreements.
  11. Actively participate in and adhere to all aspects of the Corporate Compliance Program, following the Code of Conduct and complying with relevant laws and regulations.
  12. Complete end-of-day tasks and reporting.
  13. Adhere to scheduled work hours, including lunch and breaks.
  14. Engage in Continuous Quality Improvement (CQI) initiatives and other internal committees or projects that enhance organizational performance and support the mission and goals of New Horizon Family Health Services.

Qualifications:

Education:

A minimum of a high school diploma or equivalent is required. A Medical Office Training certificate or relevant education beyond high school is preferred.

Experience:

Preferably two (2) years of experience in a medical office or healthcare facility setting.

Skills:

  • Effective communication skills with co-workers, patients, and the public.
  • Basic math computation abilities.
  • Professional demeanor and appearance.
  • Punctuality and reliability.
  • Ability to comprehend and follow detailed verbal and written instructions.
  • Discretion and sound judgment in interactions with patients, visitors, and colleagues.
