We are seeking an experienced Executive Assistant to provide high-level administrative support to our Sales & Product Marketing team. The successful candidate will be responsible for coordinating complex calendars, managing emails, and handling travel arrangements.
Key Responsibilities- Provide administrative support to the Sales & Product Marketing team
- Manage emails and ensure prompt responses to internal and external constituents
- Coordinate and schedule complex calendars
- Handle travel arrangements, including rental cars, air travel, and hotels
- Coordinate and file expense reports in a timely manner
- Plan and coordinate large- and small-scale meetings, including preparation of meeting minutes and agendas
- Prepare spreadsheets and PowerPoint presentations, as well as other statistical information when directed
- Manage a variety of clerical, administrative, and organizational functions, including filing, photocopying, and faxing
- Conduct weekly inventory checks of office supplies and place orders as needed
- Manage invoices and payment processes for external vendors
- Associate's degree or equivalent combination of education and related experience
- 5 years of recent experience supporting senior-level executives as an Administrative Assistant or similar position
- Strong computer skills, including expert knowledge of Excel, Word, Outlook, and PowerPoint
- Ability to communicate professionally with various levels of internal staff and external partners
- Attention to detail and ability to produce accurate results in a fast-paced environment
- Ability to use discretion in handling confidential information
- Previous experience in situations demanding strict adherence to confidentiality
- Notary preferred
