Job Summary

The Administrative Assistant is a key member of our team, responsible for providing administrative support to the branch. This includes creating and maintaining records, compiling reports, gathering and processing data, scheduling, coordinating, and performing office functions in accordance with established procedures and policies.

Key Responsibilities
  • Coordinates office activities and operations to ensure efficiency and compliance with company policies
  • Manages phone calls and correspondence, including emails, letters, and packages
  • Prepares communications, such as memos, emails, invoices, reports, and other correspondence
  • Assists with account collections, vendor setup, coding invoices, and matching purchase orders
  • Audits, reviews, and enters automated and manual timecards for payroll processing
  • Creates and updates records and databases with personnel, financial, and other data
  • Tracks stock of office supplies and branch inventory of all materials
  • Submits timely reports and prepares presentations/proposals as assigned
Requirements
  • Outstanding communication and interpersonal skills
  • Understanding of union/non-union and prevailing wage payroll
  • Demonstrates flexibility to effectively deal with changing priorities and timelines through analytical and problem-solving
  • Ability to work both independently and in a collaborative team-oriented environment
  • Knowledge of Microsoft Outlook, Word, Excel, and other relevant software
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
Education and Experience
  • A minimum of 3+ years of proven experience as an office administrator, office assistant, or relevant role
  • High School Diploma/GED; Bachelor's Degree in Business Administration or relevant field is preferred
