Administrative Support Specialist

We are seeking a highly organized and detail-oriented Administrative Assistant to join our Operations and Marketing teams. As an Administrative Assistant, you will play a critical role in ensuring efficient office operations and accurate data management to facilitate the smooth functioning of our dynamic engineering firm.
Key Responsibilities- Provide administrative support to the Operations and Marketing teams, including data entry, filing, and recordkeeping.
- Maintain organized filing systems for physical and electronic documents.
- Perform data entry tasks with a high level of accuracy and efficiency.
- Update and maintain databases, spreadsheets, and systems.
- Research processes and gather information to support departmental needs.
- Prepare and modify documents, including reports, drafts, and emails.
- Handle incoming communications, including answering and directing phone calls.
- Coordinate schedules, appointments, and meetings for team members as needed.
- Assist in the completion of applications and manage the application approval process.
- Assist with coordination for executive events, travel, and meetings as needed.
- Proven experience as an administrative assistant, office assistant, or in a relevant role.
- Strong data entry and recordkeeping skills.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills.
- Ability to handle confidential information with integrity and discretion.
- Experience in assisting with human resources is a plus.
- Proficiency in MS Office (Word, Excel, Outlook).
- Proactive problem-solving skills with a positive, can-do attitude.
- Diligent, detail-oriented, and efficient in time management.
- High school diploma; additional qualifications in Office Administration or related field preferred.
