Job Summary

We are seeking an experienced Administrative Support Specialist to join our team at davisREED Construction, Inc. in San Diego, CA. The successful candidate will be responsible for managing all administrative aspects of our home office, including support of our President, Office Manager, and In-house Counsel.

Key Responsibilities

  • Front desk duties, including answering phones, managing overnight packages, mail, and invoice distribution
  • Administrative duties, including collecting, reviewing, and processing vendor invoices, monitoring payables beyond 30 days, and notifying the Office Manager
  • Management and distribution of Prelim Notices and Lien Releases
  • Ensuring office file integrity, confirming receipt of insurance, bonds, and distributing accordingly
  • Working directly with account payables, accounts receivable, and subcontractors
  • Keeping the office organized, including ordering office supplies
  • Providing great customer service and communication skills
  • Exceptional organizational skills
  • Data entry via Procore and accounting entry via eCMS

Requirements

  • High School Diploma or GED preferred
  • 2 years of experience working in a fast-paced office environment
  • 2 years of accounting experience
  • Proficient with Outlook Email, Excel, Word, and Procore
  • Data entry skills
  • Salesforce knowledge
  • Proficient in Construction Management Software
  • Office/business support background
  • Knowledge of subcontractor/vendor insurance compliance
  • Ability to multi-task and prioritize
  • Ability to manage multiple priorities, effective team player, self-motivated, quick learner
