Key Responsibilities

  • Manage the telephone and communication center, serving as the primary information and referral source for residents, staff, and various departments.
  • Answer incoming calls with a friendly demeanor, identifying the purpose of the call and directing it to the appropriate personnel.
  • Retrieve and relay messages from voicemail to the relevant staff members.
  • Provide general information about the community, including directions and other inquiries, while referring specific questions to the appropriate staff.
  • Greet and assist on-site visitors, determining their needs and notifying the relevant personnel.
  • Maintain an updated list of residents currently hospitalized.
  • Handle incoming mail, sorting and distributing it as necessary, and manage publications.
  • Accept deliveries, including mail and prescriptions, ensuring proper documentation.
  • Oversee the operation of copy and fax machines, assisting users and managing outgoing faxes.
  • Prepare and print various documents, including memos and reports, as required.
  • Perform additional clerical tasks such as filing, photocopying, and collating materials.
  • Support the Administrative Assistant in tracking regulatory compliance.
  • Order and maintain office supplies to ensure smooth operations.
  • Assist the Scheduling Department with on-call staffing coordination, remaining available for necessary tasks during specified hours.
  • May undertake other duties as assigned.

Qualifications

  • High school diploma or GED; or one to three years of relevant experience or training; or a combination of education and experience.
  • Completion of all Atria-specific training programs is required.
  • Ability to read and understand simple instructions, short correspondence, and memos, as well as write basic correspondence.
  • Competence in presenting information effectively in one-on-one and small group settings.
  • Basic math skills, including addition, subtraction, multiplication, and division.
  • Ability to apply common sense to carry out detailed instructions and solve problems in standardized situations.
  • Proficiency in operating telephones, emergency call systems, and photocopiers, with flexibility to work various schedules as needed.
