Position Overview

Associa Sierra North is seeking a committed Community Engagement Specialist to enhance our team. In this pivotal role, you will collaborate closely with clients and vendors while partnering with various Associa departments. Success in this position requires exceptional customer service skills and the capacity to manage multiple initiatives simultaneously.

Key Responsibilities:
  • Travel to client associations to participate in board meetings, conduct inspections, perform walk-throughs, and attend community events as required.
  • Prepare meeting agendas, update management reports, and compile necessary documents for board meeting packages.
  • Organize annual disclosure packages, meeting notifications, and financial statement packages for homeowners, ensuring timely distribution in accordance with state regulations.
  • Maintain and update homeowner and association records in C3 and shared files.
  • Coordinate inspections of building facilities and common areas, ensuring appropriate follow-up actions are taken.
  • Oversee the administration and operation of the Association in line with management agreements and established policies.
  • Serve as the primary liaison with the Association Board of Directors and homeowners as necessary.
  • Execute administrative and management tasks as directed by the Board of Directors in accordance with the management agreement.
  • Ensure effective utilization of Associa community management tools, including annual calendars, action item lists, and budget matrices.
  • Review monthly financial reports and ensure management summaries are submitted to the Board of Directors.
  • Provide recommendations to the Board regarding significant capital expenditures to maintain community standards.
Additional Responsibilities:
  • Oversee the Architectural Review Board (ARB) application process and conduct on-site community inspections as needed.
  • Monitor delinquency rates and the collections process for the account portfolio.
  • Keep the Board informed of any legal matters involving the Association.
  • Maintain unit and contract files related to Association operations.
  • Manage routine and special project vendors, including procurement and performance evaluations.
  • Supervise Associa staff as outlined in contracts.
  • Oversee the accounts payable process in accordance with Associa home office procedures.
  • Perform other duties as assigned.
Qualifications:

Knowledge and Skills:
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Understanding of community management, real estate, and homeowners associations.
  • Familiarity with the roles of the association board and Community Association Manager.
  • Strong business writing skills (grammar, structure, punctuation, etc.).
  • Effective conflict resolution skills.
  • Professional customer service abilities.
  • Ability to maintain confidentiality and discretion in all responsibilities.
  • Self-motivated, detail-oriented, and a collaborative team player.
  • Strong time management and prioritization skills.
  • Ability to keep workspaces organized and functional.
  • Ability to interpret verbal and written instructions proficiently.
  • Knowledge of company policies and procedures.
  • Ability to work effectively with various stakeholders.
  • Strong communication skills across multiple platforms.
  • Ability to operate general office equipment.
Education and Experience:
  • Associates or Bachelor's Degree preferred.
  • Minimum of 2 years in Community Association Management preferred.
  • CAM License required for the State of Nevada.
