Accounting Operations Coordinator

The Accounting Operations Coordinator plays a vital role in supporting the department's mission and values by exhibiting inclusiveness, respect, initiative, collaboration, innovation, and accountability. This position is responsible for providing exceptional service while performing job responsibilities and adhering to safe work procedures and safety rules at all times.
This role focuses on the transactional execution of requisitions related to services and maintenance material, vendor inquiries, inventory transactions, in compliance with department and university guidelines. The incumbent applies industry and professional standards, university policy and procedure, federal and state laws, and other regulations to ensure accurate and timely processing.
The Accounting Operations Coordinator provides administrative and clerical support for the finance and administration group, specifically surrounding procurement, billing, and warehouse activities. This includes accounts payable, analysis, audit, capital spending, chart and/or account coding, cost accounting, creating new accounts, expense reimbursement, inventory, procurement card program, purchase orders, reconciliation, reporting, and wire transfers.
Key Responsibilities:- Performs data entry in spreadsheets and/or databases, ensuring accurate and timely completion of tasks.
- Runs inventory reports in an inventory system, conducts pricing comparisons, and reviews open purchase orders to ensure compliance and accuracy.
- Assists with special projects, including compiling and analyzing portions of reports per prescribed direction.
- Completes and maintains transactions in enterprise systems, including ordering stock and direct parts for the warehouse and shops.
- Reconciles transactions, verifies rates and amounts, and ensures appropriate approval, forms, and justifications are obtained.
- Confirms physical inventory for quality control and partners with warehouse staff to resolve discrepancies.
- Troubleshoots problems and corrects or escalates issues as needed.
- Enters information into database systems, ensuring accurate and up-to-date records.
- Provides administrative and clerical support, including preparing and sending standard correspondence, distributing and filing paperwork, and completing other administrative tasks.
- Assists with training of new staff members and supervises or leads temporary, part-time, or work-study students.
- High school diploma or equivalent required; 1 year of accounting and/or bookkeeping experience preferred.
- Excellent computer skills, including proficiency in spreadsheet, database, and word processing software.
- Working familiarity with Oracle-based enterprise software (PeopleSoft) or other financial systems preferred.
- Experience in procurement, pricing, inventory, or accounting (hands-on or education) preferred.
- Strong organizational skills and attention to detail, ability to multi-task, and excellent written and verbal communication skills required.
The estimated salary for this position is $45,000 - $55,000 per year, depending on location and experience.
