Job Summary

The Office Administrator is a vital role within our organization, responsible for providing exceptional customer service to both internal and external stakeholders. This position requires a highly organized and self-directed individual who can effectively manage multiple tasks and prioritize effectively.

Key Responsibilities
  • Respond to all incoming communications, including phone calls and emails, in a timely manner to include follow-up and problem-solving.
  • Support the sales team with events, including invoicing, collecting deposits, and answering phone calls.
  • Maintain office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing, and approving supply requisitions.
  • Design and implement office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Keep management informed by reviewing and analyzing special reports, summarizing information, and identifying trends.
  • Oversee incoming mail, sorting, and routing mail appropriately, and advise staff of any deliveries that may have arrived.
  • Order office supplies and ensure sufficient volumes of office staples.

Education and/or Experience Requirements
  • High school diploma or equivalent qualification; additional certifications or training in customer service is a bonus.
  • Minimum of one year's experience in an office environment.
  • Proven experience in customer service or guest relations roles.
  • Proficient in office software, such as Microsoft Office Suite, MSO 365, Google Suite, etc.
  • Familiarity with customer relationship management (CRM) systems is a plus.
  • Knowledge of the hospitality industry.
Physical Requirements
  • While performing the duties of this job, the employee is regularly required to sit, talk, use repetitive motion, type, and hear.
  • Frequently required to stand, walk, use hands and fingers to handle and feel, and reach with hands and arms.
  • Occasionally required to bend, kneel, crouch, climb stairs, and reach overhead.
