Job Summary

The Regional Executive Assistant provides high-level administrative support to the Managing Director and AVP, Regional Client Management, as well as regional office management support. This role requires a strong understanding of the local office and the ability to work with various levels of management, including the Managing Director and AVP.

Key Responsibilities
  • Supports expense management needs, analyzing monthly spending and forecasting, and provides expense research and resolution.
  • Attends weekly regional calls, gathers and analyzes data, and creates spreadsheets, reports, and presentations.
  • Coordinates schedules, meetings, and teleconferences, and coordinates room set-up for regional meetings and broker/client meetings.
  • Makes travel arrangements, organizes calendars, and manages all travel expenses.
  • Fields incoming calls from brokers and/or clients, and creates presentations, memos, letters, manuals, agendas, and other correspondence for external constituencies.
  • Gathers, compiles, and develops various sales and client management regional operating reports, routine and ad-hoc, for sales and client management.
  • Serves as the primary administrative go-to person, mentoring and supporting other administrative staff, and may provide training as needed on various systems or Microsoft suite.
  • Creates and manages the Region SharePoint site, and supports the MD and RCM with annual performance review and bonus programs.
  • Completes various data entry duties to support overall sales and marketing activities, and supports special projects or other tasks as assigned.
Requirements
  • High School diploma required, Associates or Bachelor's degree preferred.
  • A minimum of three to five years of experience in an administrative role, preferably for management-level support.
  • Excellent communication skills, both written and oral, and superior organization skills.
  • Ability to show discretion in handling confidential and sensitive information.
  • Ability to work with varying levels of management, set priorities, meet deadlines, and manage projects.
  • Excellent customer service skills and focus, and the ability to work well in an energized team environment.
  • Highly motivated and proactive, with an exceptionally high ability to work well independently.
  • Good judgment and problem-solving skills, and strong technology aptitude and proficiency in all Microsoft Office programs.
