Job Summary

The Administrative Specialist II will provide administrative support to the Bureau of Health Statistics and Vital Statistics. This role will involve creating and maintaining databases, tracking and monitoring systems, and ensuring effective coordination of operational functions.

Key Responsibilities
  • Apply agency laws, rules, regulations, policies, and procedures in maintaining and processing agency information.
  • Create official agency word processing documents, databases, and spreadsheets.
  • Serve as a liaison with the public, clients, agency staff, and others to exchange information and explain agency services, laws, rules, regulations, policies, and procedures.
  • Assure effective coordination of operational functions.
  • Establish tracking and monitoring systems and conduct follow-up to ensure effective resolution of matters.
  • Obtain, organize, and draft technical and administrative material necessary for public information or departmental use.
  • Analyze routine operating practices and procedures and make recommendations to ensure smooth and efficient office operation.
  • Maintain and control data and/or filing systems to ensure effective, accurate, and easily retrievable documentation of operations, program, and project activities.
Requirements
  • One year of experience in coordinating office activities, such as planning and coordinating meetings, tracking workflow, and composing meeting notes.
  • One year of experience in document processing, including reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies, and procedures.
  • One year of experience in using an automated information system to enter, update, modify, delete, retrieve, inquire, and report on data.
  • One year of experience in using standard computer software programs for word processing, spreadsheets, or databases.
