We are currently seeking a full-time Surgery Scheduling Coordinator to enhance our Orthopedic team. This role is pivotal in managing the scheduling of surgical interventions and coordinating preoperative and postoperative consultations. Key Responsibilities:

  • Coordinate the scheduling of patients for surgical procedures and related services.
  • Monitor the surgical timetable and communicate any necessary changes to relevant parties.
  • Oversee the surgical schedules for designated providers.
  • Manage and maintain surgical templates within our scheduling software.
  • Conduct audits to ensure all surgical cases are accurately documented.
  • Assist in gathering essential medical reports, imaging, and other documentation as required.
  • Review and distribute incoming correspondence as necessary.
  • Handle surgery cancellations and facilitate the reassignment of patients to optimize surgical time.
  • Order and coordinate necessary surgical instruments and supplies.
  • Manage additional surgery requests as needed.
  • Utilize task management systems to ensure timely responses to scheduling inquiries.
  • Provide patients with educational materials and assist with instructions related to their care.
  • Document all activities in accordance with established protocols.
  • Respond to surgery scheduling inquiries, coordinate with external facilities, and effectively resolve scheduling conflicts.
  • Stay informed on OSHA and HIPAA regulations.
  • Participate in required meetings and training sessions as requested.
  • Maintain confidentiality and adhere to all HIPAA guidelines.
  • Perform related duties as assigned.

Qualifications:

  • High School diploma or GED; coursework in Medical Terminology is preferred.
  • 2-3 years of experience in a surgical coordination role within a healthcare setting is preferred, though other relevant experience may be considered.
  • Understanding of safety protocols to ensure a secure work environment.
  • Ability to function effectively in a medical setting.
  • Strong interpersonal skills to build effective relationships with patients and healthcare professionals.
  • Commitment to maintaining quality control standards.
  • Ability to remain calm and effective in emergency situations.
  • Proficient in understanding and following detailed instructions.
  • Excellent communication skills.
